Pending legal review. This page describes how MeetBird works today in plain language; it has not yet been reviewed by a lawyer and may change before launch.
Privacy
MeetBird records conversations, so what it holds is personal by nature. This page says what we collect, which services touch it on the way, who can see it, and how you take it with you or throw it away.
The short version
- On your own account, your recordings, transcripts, summaries and answers are visible to you and nobody else. On a team on Business, a meeting reaches the teammates who were in it — never anyone outside the team.
- They are stored in Google Cloud in the United States.
- To turn audio into notes we send it to a small number of services — named below — that do one job each: transcribe it, write the summary, answer your questions, hold a spoken conversation.
- We do not sell your data and we do not show ads.
- You can export everything as a file, and delete everything, whenever you like.
What we collect
Your account
Your email address and the name you give us. There is no password: to sign in, we email you a six-digit code, and the session that follows is kept by Firebase Authentication, a Google service.
What you record or import
The audio of a conversation recorded in the app or in your browser, a call recording you share from your iPhone, or an audio file you import — with its title, time, length and the collection you file it under.
What MeetBird makes from it
The transcript, which voice said each line, the names you give those voices, the summary, decisions and action items, and your Ask threads — the questions you type or say and the answers you get.
What it takes to run the service
How many minutes you have recorded this month (for the plan's limits), and technical records such as app integrity checks and error logs that keep the service secure and working.
Purchases
If you subscribe to Pro, Apple takes the payment — we never see your card. Apple sends us a signed record of the purchase: the product, its dates, the price and currency, and whether it renewed, lapsed or was refunded. We keep it to know you are on Pro and for our accounts.
Business is bought for a team on our website, and Stripe takes that payment — we never see the card either. Stripe sends us the subscription's state, the number of seats and the invoices, which we keep for the team's billing page and our accounts.
How the product is used
Our server notes moments like signing up, finishing a recording, opening the upgrade screen, the answers you give when you first set up the app, and starting or cancelling a purchase — with which app and version made the request. We use them to understand what works and to improve MeetBird, and they are tied to your account. There are no advertising trackers, and none of it is shared or sold.
Where it goes
- Google Cloud (United States) stores your account, your audio and everything made from it, and runs the servers that process it.
- Firebase Authentication (Google) holds your sign-in session. Sign-in codes are emailed from our Google Workspace mailbox.
- Soniox receives the audio of a recording to transcribe it and tell the voices apart.
- Large language models, through OpenRouter, receive transcript text to write summaries, decisions and action items, and to answer the questions you ask in Ask.
- OpenAI receives your voice and the notes it needs when you talk to the bird (voice, in beta), so it can answer out loud. The audio is not kept there. The conversation is saved as text in your Ask history, with MeetBird.
- Stripe takes the card payment when a team buys Business, and keeps the billing details and invoices.
Each receives only what its job needs. If this list changes, this page changes with it.
Who can see it
On your own account, only you. Your recordings and everything made from them belong to your account, and the app never shows them to anyone else. On a team, the next section says who sees what. We look at an account's data only when you ask us to help with it, or when keeping the service secure requires it.
Business accounts
- Meetings recorded on a team belong to the team. If you leave or are taken off it, they stay with the team and pass to another member. What you recorded before joining stays yours and private.
- Teammates who were there can see a meeting — the person who recorded it, the people they picked, voices MeetBird recognised and anyone who said they were in the room — unless it is made private. It can also be given to a teammate by name or filed in one of the team's rooms. Nothing is shared outside the team, and the team's admins can't read everybody's meetings.
- Recognising teammates by voice is opt-in. Only you can let your team's recordings recognise your voice; no admin can turn it on for you. You can turn it off anytime, and leaving the team turns it off.
- A team's admins see who is on the team, its activity log and usage counts — how many meetings, minutes and questions, never what was said.
Keeping the audio, or not
In your profile, Keep the audio after the summary is on by default: the recording stays playable next to its transcript. Turn it off and the audio is deleted as soon as the summary exists; the transcript, the summary and the action items stay.
Taking it with you, and deleting it
- Export everything gives you every recording's transcript, summary, people, collections and Ask threads as one JSON file.
- Delete a recording and its audio, transcript and summary go with it.
- Delete everything removes every recording, transcript, summary, collection, person and Ask thread on your account. The account itself stays, so you can start again. Meetings recorded on a team are the team's and stay with it.
- Delete account, in the iPhone app's profile, closes your account and deletes everything in it. You can also email hello@meetbird.ai from the address you sign in with. A record of payments Apple collected is kept for our accounts, without your name on it.
Consent
MeetBird records what your phone or browser hears. Before you record people, tell them — and where the law asks for their consent, get it. Laws about recording conversations differ between places, and following the ones that apply to you is your responsibility.
Children
MeetBird is not meant for anyone under 16, and we do not knowingly hold their data.
Changes
If this page changes in a way that matters, we will say so in the app or by email before it takes effect. The date at the top always shows the latest version.
